Q.What kind of documents is needed to apply for "Engineer/Specialist in Humanities/International Services" ?

A. The following documents are required for "Engineer/Specialist in Humanities/International Services", which is a typical work-related status of residence (visa).

Hi, I am Daisuke Tsuji as a Gyoseisyoshi specialized for the Immigration application in Takadanobaba, Shinjuku.

The required documents are almost the same for the application for issuance of a Certificate of Eligibly(COE) in case for getting  a new status of residence,and the application for permission to change the status of residence.
So, I will first explain them.

This required documents are as on October 20, 2020.

1、In case of a COE application and change application

●Required documents

For the applicant
・Application form (There is a format at the Immigration office's  home page. for COR click here , for change click here)
・Certificate for graduation from  university or Senmongakko.
・(in the case of a change) Certificate of residence tax and tax payment(Jyuminzei Kazeisyomeisyo住民税課税証明書 and Nozeisyomeisyo納税証明書) for the previous year, that you can get at City hole office or a Kuyakusyo.


For the company
・Gensenchosyuhyotou Hoteichosyo (源泉徴収票等の法定調書合計表) for the previous year
・ Contract
・ Registration certificate for the company
・ Materials clarifying the business contents (pamphlet or homepage etc.)
・ Financial statements for the previous year


●Documents that would be better if there are

Reason letter for application (in case for a COE the company,for a change the applicant have to write)
・Transcript of an University or a Senmongakko (certifying the relationship between learning contents and jobs)
・ JLPT or BJT transcript
・ Certificate of acceptance for an Engineer test if you have

2、In case of Extension

Even if your application is an extension, in case that you have changed company, you have to submit the almost same documents as the above mentioned.
* Of course, the application form is for "Extension".

For the applicant
 Application form (the form is on the homepage. Click here to update )
Certificate of residence tax and tax payment(Jyuminzei Kazeisyomeisyo住民税課税証明書 and Nozeisyomeisyo納税証明書) for the previous year, that you can get at City hole office or a Kuyakusyo.

For the company
Gensenchosyuhyotou Hoteichosyo (源泉徴収票等の法定調書合計表) for the previous year


●Documents that would be better if there are

Reason letter for application (created by the applicant)
・ Financial statements for the previous year
・ If there are any changes from the previous application, documents for the changing.

3、Notes

Regarding transcripts

If you're an university graduate, you don't have to worry too much, but if you're a Senmongakko graduate, there's needed a strong link between what you're studying and what you're working.
Therefore, if you are a Senmongakko  graduate, be sure to submit a transcript to check whether are any classes related to your work or not.

Regarding the reason letter for application

Even if you do not submit this, the examination will be carried out without any problems, but it will be helpful for the examiner to make a judge if you explain in detail the circumstances leading up to the application and the details of your jobs at the company.
If your company's business involves on some "Blue Collar" work, poor financial results, or any other special circumstances, be sure to create and submit it.

All materials submitted to the Immigration Office basically need to be translated into Japanese.
This is stipulated by a law, and if you do not submit it in Japanese, you cannot complain even if it is not considered in the judge.

The Immigration Office basically accepts applications for status of residence as long as there is an application form, even if only the application form.
This is because the documents required for the judgment can be submitted as additional documents later, or the examiner can check them ex officio.
However, this delays the examination because of doing so, and sometimes misunderstandings occur.
Therefore, it is important to submit the minimum required documents at the time of application and to fulfill the responsibility of explaining the circumstances.
Make sure you prepare properly before going to the Immigration Office to apply.

*Explanation of documents

a、Gensenchosyuhyotou Hoteichosyo (源泉徴収票等の法定調書合計表)

This is a record of how much withholding tax the company pays.
If this total amount exceeds 10 million, the company will be in Category 2, and there will be advantages such as faster examination and longer period of the resident status.

b、Contract

A regular contract is fine, but the annual income must be about the same as the Japanese.
It is out of the question to fall below the minimum wage.

It is better to be specific about the job content, but I think it is better to state the detailed job content in the "Application Reason Letter".

Of course, if there is a job that does not fall under "Engineer/Specialist in Humanities/International Services", the examination will be strict.

c、financial statements

If the financial statements are in the red, the company should add a document explaining it.
This is the same when insolvent.

For companies that have been insolvent for two consecutive terms, it is not for the status of residence  "Business Management", so it may not be necessary to have a written opinion from a certified public accountant or registered management consultant, but it will be examined very rigorously.

In this case, the company has to explain in a detailed business plan that the management of the company will continue and stabilize.

d、Certification for residence tax and tax payment (Juminzei Kazeisyomeisyo住民税課税証明書 and Nozei syomeisyo納税証明書)

A tax certificate is a document that reveals how much income one has for a year.
In addition, tax deduction items are also written, so if there is an unnatural deduction for dependents etc. , it will be immediately revealed.

Especially in case of extension or change for "Student", it becomes a problem if the annual income is large enough to greatly exceed the living expenses.
